KS&EW Events – Services Required

The successful event planners will be required to excel in the following key service areas to ensure events are staged to the highest possible standard.

• Venue Decorating & Catering Services

KS&EW requires the firms to provide comprehensive decorating and catering services at the venue for a friendly and professional environment. This shall include:

1. Seating facilities include three-seaters, two-seaters, and chairs.
2. High-class catering, offering quality and presentation standards of the highest order.
3. All tables and chairs will be dressed in clean impressive fabric to add to the overall look of the venue.

• Videography Services

The team of videographers shall shoot high-definition video for both live viewing and archival purposes. Essential elements include:

1. Professional camera and video equipment to ensure crisp, clear footage.
2. Accomplished videographers capture key moments for effortless visual recording of the event.

• PA Sound System

A good sound system should be able to let the audience catch every word in an effective manner. Its requirements are as follows:

1. A sound system that proves its quality and continuously offers perfect audio throughout the venue.
2. Experienced sound technicians who can fix problems and ensure that the sound quality remains perfect during the event.

• SMD Display 

The bidders shall provide an SMD display with the following specifications for better visibility:

1. A screen size of at least 10×20 feet to allow clear, large-format viewing of the material.
2. A high-quality display is visibly wide-angled so all participants may see the screen clearly.

Application Requirements and Submission Guidelines

The interested companies for participating on behalf of KS&EW are encouraged to submit a detailed proposal with all relevant documents. In this regard, therein is outlined what the proposal shall cover:

1. Cover Letter & Expression of Interest (EOI): This should contain, but not be limited to contact address of your firm and a short summary of interest in the project.
2. Tax Registration Certificate: Proof of tax registration of your firm shall be provided.
3. Legal Business Documentation: Based on your firm’s status as a company, partnership, or proprietorship, provide the necessary legal documentation along with a contact name.
4. Project Experience: Your company has at least three years of experience associated with projects similar to this one, and your response lists former clients, project descriptions, and references.
5. Key Personnel: Provide a short background summary of the senior management and key team members.
6. Legal History: State the history of any past or current litigation instituted against either government or private entities.

Eligibility Criteria

The companies to be selected should possess the following:

1. Relevant Experience: Dealing with multinational companies or similar complex environments. Clean Record: The employees should have a clean record; also, the firm must be recognized for reliability and professionalism.
2. Compliance with Local Regulations: Your firm needs to be compliant with the environmental, health, safety, and labor standards of Pakistan and all relevant regulatory requirements.
3. Tax Registration: The firm will have to get itself registered with the concerned authorities like SRB and FBR.
4. Government Contracting Experience: Firms shall highlight previous experience related to government/semi-government engagements.
5. Performance History: Firms that have a history of poor performance or being blacklisted by governmental agencies should not apply.

How to Apply

To submit a proposal, firms should obtain the “Pre-Qualification Documents (PQD)” from KS&EW‘s office against payment of PKR 2,000 in the shape of a bank draft/pay order. The PQD contains detailed requirements and guidelines.

1. Proposal Submission Deadline: All completed proposals shall be forwarded to the below-mentioned office for receipt no later than 14th November 2024.
2. Document Collection: PQDs can be collected in person from KS&EW’s office during office hours.
